Brainstorms often end with a wall full of notes and no decision. Here the notes become an agenda in the same meeting that everyone votes on – and at the end it’s clear who tackles what.

In the meeting

  1. 10 min

    IcebreakerAI · Arrive

    Arrive

A short game loosens things up, e.g. “Common Ground” or “Line Up!”.

💡 With more than 20 people, skip this step and start right away with the board.

  2. 20 min

    Pinnarium · Work & decide

    Collect ideas

Create a board with the “Idea collection” template – or from IcebreakerAI with “Take everyone along”. The question sits at the top of the board, the timer runs, everyone writes hidden; the phone serves as a notepad. Then reveal together.

  3. 15 min

    Pinnarium · Work & decide

    Cluster and dot-vote

The local assistant groups the notes by topic and merges duplicates – with preview and “Undo”. Then everyone hands out their dots.

  4. 30 min

    Votarium · Work & decide

    Decide

“Hand over to Votarium”: the topics become the agenda, ordered by dots, each with a ranking and the question of how to proceed. Accept it in the studio, go live and enter the code in Pinnarium under “Take everyone along” – the phones switch on their own.

  5. 15 min

    Votarium · Work & decide

    Who does what by when?

On the action items slide everyone proposes and prioritises; you accept the action items with an owner and a due date. At the end everyone rates the meeting with stars.

Afterwards

  1. Votarium · Work & decide

    Minutes

Save the minutes as PDF, Markdown or CSV; also export the board from Pinnarium as Markdown or print view.

  2. Actarium · Follow through

    Follow up on tasks

Hand decisions and action items from the minutes to an Actarium list and send the team link to everyone.

    Open Actarium

To be honest

  • The hand-over takes at most eight topics; in the preview you untick what shouldn’t be voted on.
  • On the board everyone enters a name; the votes in Votarium are anonymous.
